Prepare a contact file and QR code, check how a phone saves the name and number, and share only the business details you intend to make public.

A contact card is useful when another person can save the right name, number, and reason to call without retyping them. The job is small but specific: give someone accurate public business details in a format their phone can review and save.

Start by choosing the identity you want the recipient to remember. A business owner may use a named contact. A shared front desk may be better represented by the business and department. Do not mix a personal number with a shared business title unless that is the arrangement you actually want to maintain.

## Build a fictional card first

Open the [free Digital Business Card Maker](https://www.theleadflowpro.com/tools/digital-business-card). For this example, **Your name** is Alex Morgan, **Title** is Owner, and **Business name** is Cedar Repair. Everything in this example is fictional.

Use +1 202 555 0142 for **Phone**, alex@example.com for **Email**, and example.com for **Website**. These are illustrative contact details, not a real customer contact. Put Example City in **Address** and “Furniture repair by appointment” in **What you do, one line**.

The checked run creates an alex-morgan.vcf file and encodes the same contact text in the QR. The file declares vCard version 3.0. Its name fields include FN:Alex Morgan and N:Morgan;Alex;;;. The phone becomes +12025550142, while the website becomes https://example.com.

These details show what needs checking. The generator treats the last word of the name as the surname and the earlier words as the given-name field. That simple approach may need correction for compound surnames, suffixes, business-only names, or another preferred naming convention. The display name looking right does not guarantee the imported sorting fields are right.
## Try the example, then use your own details

Use the free tool below. Review the result and complete the checks in this guide before sharing or installing it.

Open the working tool: https://www.theleadflowpro.com/tools/digital-business-card

1. **Enter the public identity.** Fill Your name, Title, and Business name as you want a new contact to understand them.

2. **Add contact details.** Use the monitored Phone, Email, and Website. Include Address only when it is intended for public distribution.

3. **Describe the service.** Keep What you do, one line brief and factual so the recipient remembers why they saved the contact.

4. **Review an import.** Download the .vcf and scan the QR. Check the proposed name fields, phone number, and website before distributing it.

### How to read your result

- The file and QR contain the same contact data. They do not create a hosted profile or update cards already saved by someone else.

- The tool splits the name at the last word; inspect the imported name fields when that does not match your naming convention.
## Keep the public card deliberately small

Include the details a new contact needs to take the next step. A business number, public email, website, and short service description are usually more useful than a long biography. Leave optional fields empty when they do not serve the purpose.

Think carefully about the address. If customers visit a public shop, the approved business address may be useful. If you operate from home or visit customers, do not publish a private residence simply because the form has an Address field. The card can be copied, forwarded, photographed, or printed after you share it.

A saved contact is also not permission to send a newsletter or recurring promotional texts. It helps another person reach you. Any separate subscription or marketing process needs its own appropriate agreement and records.

## Inspect the imported contact before distributing it

Download the contact file and open it on a device you control. Review the proposed contact before saving. Check the displayed name, first-name and last-name fields, phone country code, email spelling, and website. Confirm that the description appears somewhere understandable rather than being cut into an unrelated field.

Then scan the QR on another available device and compare the result. Some phones show a review screen; behavior varies by camera and contacts application. Do not tell people that scanning always saves a contact automatically. Give them a simple instruction: scan, review the details, and choose whether to save.

If the QR will appear on a printed business card, test the printed size. A code that works full-screen may be harder to read after it is squeezed beside a logo and several lines of text. Keep a readable name and phone number alongside it so the contact method still works without scanning.

## Copy this contact-card review sheet

- Public identity and role:
- Number responsible for answering:
- Email account monitored by:
- Website destination and purpose:
- Address approved for public distribution, or omitted:
- Imported display name:
- Imported given name and surname:
- Phone and website links checked:
- Devices and applications reviewed:
- Final file version and next review date:

Keep one approved master file. When the phone number, role, or website changes, regenerate the card and replace the copies you control. Previously saved contacts will not automatically update just because you created a new file. Plan for that limitation before printing a large quantity.

The free generator is enough for the contact file and QR. The [QR Sign Kit](https://www.theleadflowpro.com/tools/pro/qr-sign-kit) also includes contact-card and print materials if you need a coordinated handoff. Your immediate next step is simpler: import the example, understand its fields, then test your approved public details.

## Questions people ask

### Will old saved contacts update automatically?

No. This is a static contact file. Regenerating it changes new copies, not contacts already saved on another device.

### Must I include a street address?

No. Leave optional details empty when they are unnecessary or not appropriate to publish.

### Does scanning automatically save the contact?

Device behavior varies. Ask the recipient to review the proposed contact and decide whether to save it.
