A customer asks for help. Someone sees the message. Everyone assumes someone else answered it.
That is a problem you can inspect today. Open your latest inquiries and give each one two things: an owner and a next step.
You can do this in a spreadsheet, a notebook, or the customer system you already use. The important part is that everyone responsible knows where the record lives.
Start with five real inquiries
Choose five recent inquiries that are still relevant to your business. Include different places where people contact you, such as a website form, a phone call, or a social message.
Work inside your authorized business records. You do not need to copy customers' names, phone numbers, or message histories into an AI tool for this exercise.
For each inquiry, answer these questions:
- What did the person ask for?
- When did they ask?
- Did a person actually answer?
- Who owns the next response?
- What needs to happen next, and when?
“We sent something” is not the same as “they received it.” A bounced email, failed text, or message still in a draft needs a different next step from an unanswered delivered quote.
Copy this simple record
Use one record per inquiry. Keep personal contact details in your existing private system and use its reference number here if the working document is shared more widely.

Do not contact or other restriction:
Keep the status labels simple: New, Answered, Waiting for us, Waiting for customer, Closed, or Do not contact. “Waiting for us” should always have an owner and due time.
An inquiry can be closed because the person bought, chose someone else, stopped the conversation, or was not a fit. Record the reason. Do not count every closed record as a customer.
Make the next action specific
“Follow up” leaves too much for the next person to figure out.
“Maria checks the requested appointment time and replies by 2 PM Tuesday” tells you who is responsible, what is missing, and when it should happen.

The review date tells the team to check the record. It is not an instruction to send another message automatically.
Draft a useful reply when a reply is appropriate
For an existing conversation, answer the actual question or ask for the one missing detail. This prompt can help you prepare a draft using an anonymous summary.

Confirmed facts: [what is accurate right now]
One missing detail: [what we need, or write none]
Next action we can actually take: [specific action]
Write no more than three short sentences in a friendly, plain voice.
Answer the customer's question first.
Do not invent urgency, availability, a discount, or a promise.
Ask at most one question.
Give me the draft to review. Do not send anything.

Use the channel appropriate to the existing relationship and the person's preferences. An email inquiry is not permission to start sending texts. Stop when someone asks you to stop.
Check the record again tomorrow
Set a short review time. Find every item marked “Waiting for us.” Resolve it or write the reason it is still open. Then inspect failures and unanswered questions.
Your first scoreboard can stay small: open inquiries, inquiries waiting on your team, overdue next actions, and confirmed customers. Use the same definitions every day. Keep customer identities off any public scoreboard.

Questions people actually ask
Do I need a new CRM before trying this?
No. Start in the private business record system you already use. A spreadsheet or shared document can show whether every open inquiry has an owner and a next action.
Does a next action date mean another message should be sent?
No. It is a time to review the record. The appropriate action may be answering an open question, fixing a failed delivery, preparing a quote, or closing the record without further contact.
